Payment & Refund Policy

This Payment & Refund Policy outlines the terms and conditions governing payments for EdCarry services and our refund procedures. Please read this policy carefully before making a payment.
1. Subscription Pricing
EdCarry operates on a subscription-based pricing model. Our pricing is based on the number of students enrolled in your institution and is calculated on an annual basis.
- Pricing starts at $1.50 per student per year
- Minimum subscription period is one (1) year
- Pricing is displayed in USD unless otherwise specified
- We reserve the right to modify pricing with 30 days' advance notice to existing subscribers
2. Payment Methods
We accept the following payment methods:
- Credit and debit cards (Visa, Mastercard, American Express)
- Bank transfers (wire transfers) for annual subscriptions
- Other payment methods as may be specified during checkout
All payments are processed through secure payment gateways. We do not store complete payment card information on our servers.
3. Payment Terms
3.1 Annual Subscriptions
Annual subscriptions are billed in advance for the full subscription period. Payment is due upon subscription activation or renewal.
3.2 Auto-Renewal
Subscriptions automatically renew at the end of each subscription period unless cancelled before the renewal date. By subscribing, you authorize us to charge the renewal fee to your payment method on file.
3.3 Failed Payments
If a payment fails, we will attempt to process the payment again. If payment continues to fail, we may suspend your account access until payment is successfully processed. We will notify you of failed payment attempts via email.
3.4 Price Changes
If we increase pricing, existing subscribers will be notified at least 30 days in advance. The new pricing will apply to your next renewal cycle unless you cancel before the renewal date.
4. Taxes
All prices are exclusive of applicable taxes, duties, and fees. You are responsible for paying any taxes, duties, or fees that may apply in your jurisdiction. We will add applicable taxes to your invoice where required by law.
5. Refund Policy
5.1 General Policy
Due to the nature of our software-as-a-service (SaaS) offering, subscription fees are generally non-refundable. However, we may consider refunds in the following circumstances:
- Duplicate payments or billing errors
- Service unavailability for extended periods due to our fault
- Early termination requests within 30 days of initial subscription (prorated refund)
- Other circumstances at our sole discretion
5.2 Refund Requests
To request a refund, please contact us at support@edcarry.org with the following information:
- Your account email or school name
- Invoice number or transaction ID
- Reason for refund request
- Supporting documentation if applicable
5.3 Refund Processing
Refund requests will be reviewed within 5-7 business days. If approved, refunds will be processed to the original payment method within 10-14 business days. The time it takes for the refund to appear in your account depends on your payment provider.
5.4 Partial Refunds
For early termination requests within 30 days of initial subscription, we may provide a prorated refund for the unused portion of the subscription period, minus any applicable fees.
5.5 Non-Refundable Items
The following are not eligible for refunds:
- Subscriptions that have been active for more than 30 days
- Renewal payments after the renewal date
- Payments for custom development or implementation services (subject to separate agreements)
- Any fees or charges paid to third-party payment processors
6. Cancellation
You may cancel your subscription at any time through your account settings or by contacting support.
6.1 Cancellation Timing
Cancellations take effect at the end of your current billing period. You will continue to have access to the platform until the end of your paid subscription period.
6.2 Data Export
Before cancellation, you are responsible for exporting any data you wish to retain. We may delete your data 30 days after account cancellation in accordance with our data retention policies.
6.3 Reactivation
If you cancel and wish to reactivate your subscription, you may do so at any time. Reactivation will be subject to current pricing at the time of reactivation.
7. Disputes and Chargebacks
If you have a dispute regarding a charge, please contact us at support@edcarry.org before initiating a chargeback with your payment provider. We will work with you to resolve the dispute. Unauthorized chargebacks may result in account suspension or termination.
8. Currency and Exchange Rates
All payments must be made in the currency specified during checkout. If your payment method uses a different currency, your bank or payment provider will handle the currency conversion, and you may be subject to exchange rates and fees determined by them.
9. Free Trials and Promotions
From time to time, we may offer free trials or promotional pricing. Specific terms and conditions for these offers will be communicated at the time of the promotion. Free trials may require payment information and will automatically convert to paid subscriptions unless cancelled before the trial period ends.
